Buchhalter / Bookkeeper Minijob in 14476 Potsdam / Alexander-Haus e.V.

Role: Bookkeeper 

Employer: Alexander-Haus e.V. 

Reports to: Yasmeen Akhtar, Director, Alexander-Haus e.V. 

Works closely with: Nick Viner, Treasurer Alexander-Haus e.V. 

Place of work: Initially from home/remotely, then Gross Glienicke 

Hours of work: 4-6 hours/week 
Remuneration: €25/hour (on basis of small-scale employment possible)

Start date: to be agreed



Key responsibilities:
Taking over accounting in a seamless manner from the current outsourced provider
Managing accounts payable:

- ensuring liabilities are correctly recorded;

- reconciling accounts with supplier statements; 

- ensure payment to suppliers according to terms;

- ensuring good reputation is maintained
Managing accounts receivable: ensuring that income due (from events, donations, sponsorships, etc.) is properly identified, is invoiced as appropriate, is received in a timely manner, and is correctly recorded
Payment of expenses to staff and Board members: 

- checking expense forms and receipts, following up queries, 

- paying authorised expenses on a monthly basis, and 

- maintaining appropriate records for reporting to tax authorities (in line with directions from accountant/tax adviser)
Management of petty cash, floats; oversight of debit card usage; reconciliation of day to day cash and preparation of information of cash expenditures needed for monthly management accounts
Managing the day to day relationship with our two German banks, including keeping an eye on the bank accounts and the cash position, and alerting us to any important changes; and identifying and dealing with problems that might arise (or escalate where necessary)
Providing periodic reporting on income and expenditure to key funders on specifically-funded programmes in a format to be agreed with the Director
Preparing monthly management accounts including P&L and balance sheet (including reconciliation with bank statements) and cashflow
Supporting the preparation of the annual budget and the reforecast (currently once in the year)
Maintaining reports and supporting documentation (in an agreed format) to provide to the accountant on an annual basis in order for her to compile tax reports
Reporting to the Director and Treasurer on a monthly basis, and availability for questions by the Treasurer and raising important issues
Providing timely information to the Director, Treasurer and other board members as requested 



Skills required:
First-rate numerical skills
Qualification as bookkeeper or accountant is welcome but not necessary
Strong bookkeeping skills and previous experience in a similar role, in particular, understanding of the requirements of bookkeeping for a charity
Solid organisational skills and excellent attention to detail
Excellent communication skills
Written and spoken English – to be able to communicate effectively with English-speaking Director and Board members
Ability to work quickly, accurately and to deadlines
Knowledge of Excel or other spreadsheets, experience with accounting packages
